We are looking for a highly organised and proactive Personal Assistant (Band 4) to join our team, providing a comprehensive and confidential administrative service to the Children's Care Group Senior Leadership Team.
This is a pivotal role supporting senior leaders including the Care Group Director and wider management team. You will play a key part in ensuring the smooth day-to-day running of the service, acting as a central point of coordination, communication, and organisation.
This will include managing complex diaries and email inboxes, coordinating meetings, preparing agendas, reports, presentations, and correspondence, and attending meetings to take accurate minutes. The role requires effective prioritisation of workload, handling sensitive information with discretion, and acting as a first point of contact for internal and external enquiries, ensuring appropriate action is taken in the absence of senior colleagues.
The post holder will liaise closely with managers, clinicians, support services, and external agencies to support the day-to-day business of the Care Group. Responsibilities will also include maintaining effective filing and record systems, monitoring mandatory training compliance and staff absences, supporting service improvement initiatives and projects, and providing cross-cover within the administrative team when required. The role requires initiative, flexibility, and the ability to manage competing priorities in a fast-paced and changing environment.
About You
We are seeking someone who is highly organised and proactive, with strong administrative experience gained in a busy or complex environment.
You will be confident working independently and using your initiative to manage competing priorities while maintaining a high standard of accuracy and professionalism. You will have excellent written and verbal communication skills, be comfortable liaising with senior managers and a wide range of stakeholders and demonstrate a clear understanding of confidentiality and information governance.
You will be adaptable, reliable, and able to remain calm under pressure, with a flexible approach to work and a commitment to supporting service delivery and continuous improvement.
There may, at times, be a need to travel between various locations, it would be an advantage if the applicant has access to transport and the ability to travel within the required geographical area.
