Salary: GBP28,000 : GBP30,000 per annum

Job Type: Full time/ Permanent (40h per week 8:30am : 5:30pm Mon:Friday)

About The Role

We are in search of an experienced administrator to work in our Head Office in Poole. You will need to be eager to embrace a fresh opportunity within a fast:paced setting. The perfect candidate should be adaptable, have a desire to acquire new skills, and be comfortable working individually or as part of a supportive team in a face:to:face environment.

In this position, you will play a vital role in supporting the Maintenance Team and, as such, we are seeking an individual with a strong, optimistic mindset and a sharp attention to detail. The responsibilities will be diverse, requiring efficiency and excellent organisational skills.

Duties And Responsibilities

  • Basic quote preparation for maintenance contracts
  • Preparing pro:forma invoices for payment through Sage 200
  • Chase timesheets and job sheets to ensure receipt in a timely manner
  • Contacting customers to chase outstanding invoices and quotes
  • Entering Sales orders for goods, services, and labour
  • Scheduling appointments for our engineers
  • Preparing Job Packs / Calendar Appointments for engineer visits
  • Costing engineers time from weekly timesheets to a sales order
  • Basic quote preparation for remedial works
  • Using Servicelife to record all customer and site history
  • Answering the phones and responding to emails as required
  • Booking Hotels for engineers
  • Managing Van Stock and returns
  • Other duties as required appropriate to the role

About You

  • Previous experience in a similar role is desirable
  • Strong communication skills as you will be liaising with colleagues across the business as well as with clients on the telephone and via emails
  • Excellent numeracy and IT skills
  • Organised, accurate with a very high attention to detail
  • The ability to make decisions whilst working under pressure.
  • A proficient user of MS Office
