UTEC are looking to hire a Senior Personnel Co-Ordinator on a full time, permanent basis. Based at their facility in Westhill, Aberdeen, the Senior Personnel Coordinator is responsible for all travel and logistics ensuring the management and planning of a properly resourced & competent pool of field staff ensuring the personnel coordinators complete similar tasks in a timely and accurate manner. This position will also coordinate and provide administration support to the local Operations Team.
Duties & Main Responsibilities
- Responsible for personnel coordinators within team, to ensure personnel skillsets of offshore personnel are in line with project notification and work scopes
- Coordinate admin tasks within the crewing department and with Personnel Coordinators to ensure all monthly deadlines are achieved.
- Ensures route and carrier options are most appropriate based on project needs and employees departure points.
- Research alternate options when preferred travel is not available.
- Responsible for all data inputs into personnel, Training, and Competency registers, ensuring that personnel are in possession of the necessary current certification required for their discipline/position and updated certificates are uploaded to the UTEC IMS.
- QC of regional travel logs to ensure accuracy.
- Responsible for the review of Global travel providers invoice to ensure accuracy, correct project codes are referenced, and invoices are presented with supporting documents.
- Works directly with accounts payable and cost controller to ensure purchase orders and accounts are in order.
- Identify, recommend, and implement system or procedural improvements.
- Provide administrative support to Operations Team including, but not limited to, general clerical, receptionist, and project-based work
- Assist existing operations staff with the organizing, tracking and execution of all purchase orders, and invoices.
- Have a good knowledge of the core competencies required for offshore disciplines in the global field pool.
- Work closely with business unit teams to deliver personnel to the vessels in a timely manner.
Required
- Previous experience within a similar role
- Ability to organize and assign workloads of a small team
- Ability to prioritize & assign tasks based on workload and meet deadlines
- Plan crew rotations across multiple vessels medium to long term
- Previous experience within travel coordination role is essential
- An understanding of the processes required to mobilize and travel personnel to international, offshore worksites (ticketing, visa, work permit, inoculations etc.)
- Must be team-oriented, possess a positive attitude and work well with others
