Overview Of Role

  • The main purpose of this role is to book in planned works, make outgoing and receive incoming calls. Ensure works are planned efficiently and aim for a one call resolution whilst delivering excellent customer service.
  • Main Duties and Responsibilities:
  • Liaise with customer to progress planned works, ensuring an accurate record is maintained utilising the internal database
  • Support customers with their enquiries during the duration of their planned works, including aftercare
  • Answer calls, emails and handle the incoming and outgoing post daily
  • Order internal supplies
  • Management of employee records including processing time-sheets in excel, maintaining holiday records, etc.
  • Ensure customer enquiries are passed to relevant department/surveyors by email
  • Allocate works to trade operatives through our work management system
  • Planning installs as efficiently as possible, ensuring departmental KPI’s are met
  • Complaint resolution
  • Process customer completion certificates and keep up to date spreadsheets for monthly submission
  • Process customer payments and issue receipts
  • Gather information for new contracts and devise customer order forms and offer letters
  • Run reports via database/excel on a weekly, monthly, adhoc basis to meet business requirements
  • Process and issue purchase order numbers, whilst keeping corresponding spreadsheet up to date
  • Additional duties as the business requires.

Skills Required

  • Experience of working in a customer interfacing role with exceptional customer service skills
  • Ability to deal with clients/customers with empathy and meet their expectations
  • Ability to prioritise and meet deadlines
  • Previous experience of data entry is desirable
  • Ability to work as part of a team as well as autonomously
  • Excellent attention to detail is essential
  • Excellent communication and interpersonal skills
  • Experience of Outlook packages (Excel, Word, Outlook)
  • Flexibility to work overtime as business needs require.
