What will the Executive Assistant and Office Manager be doing?


Office Management

  • Responsibility for iPhones, iPads, relationships with the phone provider Tela Technology and reviewing and renewing contracts.
  • Responsibility for managing Leumi ABL facilities and third-party vendors, including (but not limited to): photocopiers, recycling / shredding, emergency lighting / lighting, air conditioning, alarms
  • electrician / plumbers, mobile phone contract, office and kitchen procurement contracts.
  • Manage relationship with the landlord and resolve premises issues.
  • Responsibility for business contingency alongside the COO
  • General assistance for any office related queries/issues
  • Manage the data storage facility with LABL’s third party vendor, including ensuring that documents are destroyed following the expiry of the retention policy in accordance with LABL’s Retention Policy.
  • Manage LABL internal intranet, ensuring that documents are relevant, the latest versions and correctly filed.


Executive Assistant

  • To provide a high-level secretarial and administrative support, including comprehensive diary management, co-ordination of travel arrangements, processing of expense claims, and performing other ad hoc tasks to ensure the smooth running of the Executive Management Team.
  • To act as first point of contact when required, screening telephone calls and dealing with emails and general correspondence as appropriate.
  • To assist LABL Management and Leumi UK Marketing as required in the organisation of corporate events.


Other

  • Health and Safety Officer (Brighton office and ABL staff)
  • Manage the “starters and leavers” process including the setting up of accounts, purchase of equipment, setting up on holiday system, liaising with the People Team.
  • Jointly responsible for the running of the Sensitive Positions Enforced Absence Policy.
  • Responsible for distributing meeting agendas, pack preparation, preparing minutes, and following up action points in respect of LABL Management Meetings and other LABL (Brighton) committee meetings as required.
