About The Role

We are seeking to appoint an enthusiastic and motivated individual to join our Digital Training & iServices team. You will possess excellent interpersonal skills with the ability to communicate with staff at all levels. The role will involve all activities associated with the issue and management of smartcards across all Trust sites, therefore an understanding of Registration Authority processes would be advantageous. You will also provide administrative support to the Digital Training Team and will be primarily working alone, therefore the ability to manage your own workload and prioritise activities is essential. The position is based at Dewsbury Hospital but there will be a requirement to work across all Trust sites using the Trust shuttle bus service if required.

Main duties

  • Provide advice and guidance to staff using a variety of communication methods, eg phone, email, Service Desk (Helix) calls, Microsoft Teams and face to face
  • Maintain accurate records / file management / scanning
  • Liaise with key stakeholders and staff from other services, eg Medical Staffing, PDEU, Medical Education etc to obtain and clarify information
  • Travel across all Trust sites to support smartcard and training sessions
  • Create, review and update Digital Services pages on the Trust intranet
  • Support all Digital Teams with the processing of recruitment onboarding forms. This includes business as usual recruitment as well as large cohorts, eg doctor rotations
  • Provide administrative support at a variety of meetings. This includes scheduling, development of agendas, meeting notes and action logs
  • Support the Digital Identity Services Team Leader in the scheduling of smartcard sessions
  • Provide in-person support for smartcard sessions both independently and alongside other colleagues
  • Undertake all aspects of identity management in line with local and national guidelines
  • Undertake tasks to manage staff starters, leavers and changes
  • Issue and maintain NHSMail accounts in line with local and national guidance
  • Train Trust staff in basic Registration Authority (smartcard) functions, eg unlocking smartcards
  • Complete data quality checking tasks to ensure records are maintained and accurate
  • Support the Digital Training Team Leaders in all aspects of training course scheduling in line with the scheduling standard operating procedure

  • Card Management System (CMS)
  • Remedy Helix (Call logging software)
  • Electronic Staff Record (ESR)

  • Active Directory (AD)

Qualifications

Essential person specification requirements

  • NVQ Level 3 qualification in related subject/relevant experience
  • CSE or GCSE in English Language and Maths or able to demonstrate equivalent experience

Experience

  • Experience of Microsoft Office applications, in particular, Word, Outlook and Excel
  • Experience of using Microsoft Teams
  • Experience of dealing with staff at all levels
  • Experience of clerical and administration duties

Knowledge And Awareness

  • Awareness of own limitations
  • A willingness to undertake further training as required and evidence of ongoing commitment to personal development
