An exciting opportunity has arisen for clerical officer to join the team at Royal Alexandra Hospital . The purpose of this post is to provide an efficient and comprehensive administrative and reception service to the Out Patient Department in the Royal Alexandra Hospital. The post holder will first point of contact for telephone communication. The post holder will work within the Royal Alexandra Hospital administrative teams alongside the Site Administrator to provide a seamless administrative service to the Community Hospital. This post is 22.5 hours, Monday to Wednesday but, initially could be Tuesday to Thursday.

Main duties of the job

The purpose of the role is to:

  • Offer general assistance to services providers and users and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Undertake a variety of administrative duties to assist in the smooth running of the General Office including the provision of clerical support to clinical staff and other members of the team
  • Facilitate effective communication between patients, members of staff secondary care and other associated healthcare and wellbeing agencies

Qualifications

Essential criteria

  • Able to demonstrate English and Maths to GCSE or equivalent experience
  • IT or word processing qualification (e.g. RSA 2 or equivalent experience)

Desirable criteria

  • ECDL
  • NVQ Level 1 or equivalent in customer service

Experience

Essential criteria

  • Experience of using a computer system (e.g. GP clinical IT system)
  • Previous experience of working in a reception/office environment
  • Experience of working with the general public

Skills

Essential criteria

  • Ability to work in a busy environment, and deal with a number of different tasks simultaneously
  • Ability to communicate tactfully with patients
  • Ability to resolve issues ‘on the spot’ using own judgement

Knowledge

Essential Criteria

  • An understanding of confidentiality involved with post

Personal Qualities

Essential Criteria

  • Ability to work as part of an integrated multi-skilled team member without direct supervision
  • Ability to determine own work load priorities
