Job Summary

We are looking for a mandarin speaking multi-tasker with excellent communication skills and a consistent upbeat attitude. Candidates should be able to assist the Project Manager with a successful delivery of the project.

The candidate should be professional, attentive with a good understanding of processes and an attention to detail. They should always be prepared and responsive, willing to meet each challenge directly and be responsible for the result. The successful candidate must be a team player comfortable with computers, including computer software such as Excel, PowerPoint and Word as well as proficient in both business English written and verbal communication. Most importantly, she/ he should have a genuine desire to meet the needs of the project team.

Key Responsibilities:

  • Assist with meeting organisation, including booking the meeting and setting up agenda, outputting meeting minutes;
  • Coordinate all aspects of the relocation, ensuring minimal disruption to daily operations;
  • Assist with Project manager to track actions to ensure the completion on time;
  • Assist with Project manager to prepare project monthly report, including project status, delays and key milestones;
  • To archive and maintain accurate records of all information for documentation in a timely manner;
  • To assist with other admin related task as requested;
  • Assist procurement manager to deal with Supplier selection:
    • Prioritising and taking action on incoming purchase requests to review and clarify requirements with purchase requestor.
    • Make sure the requirement is clear, discuss with BU and make supplier selection strategy under procurement process and get approved by procurement manager or procurement committee depends on different scenarios. Carry out the strategy and have the final decision.
    • Place the order and ensure the delivery of goods or services on time, track the order and resolve the temporary urgent delivery.

  • Assist procurement manager to deal with Supplier qualification:
    • Communicate with potential supplier to feedback supplier basic information.
    • Negotiate with supplier to sign the supplier qualification relevant agreement.
    • Analysis the supplier certification if can meet our benchmark, report the procurement manager about the result.

Required:
